April updates: deadlines for checklist items, improved search, commenting on public cards

And four more features that will improve your Kaiten experience.

What’s new in Kaiten:

  1. Deadlines for checklist items
  2. Improved search
  3. Comments in a public card
  4. Quick filter by card type
  5. Turn an external user into a full Kaiten member in one click
  6. Moving cards when deleting a board, column, or track
  7. Manage all notifications in one place

Deadlines for checklist items

You can now set a due date for checklist items! This will help you better control the work on the task.

How to setup

Add a checklist to your card. To do this, open the card, click on the purple plus button and select “Checklist”.

Write a checklist item and click on the “Add due date” button. Select a date and click “Save”.

Improved search

Now you can set different search settings and find what you need faster.

You can

  1. limit the search area to a specific space,
  2. search for matches only in the names of cards or in the title and content of the card,
  3. indicate the type of card and the required tags.

How to setup

To use the search, click on the magnifying glass icon in the upper right corner of Kaiten.

Enter a search term and set restrictions.

Comments in a public card

Now users who are not registered in Kaiten can leave comments and edit checklists in public cards.

Imagine a situation: developers are sawing a site, and the client wants to throw off design examples or clarify something for them. Typically, in such situations, a manager is used who passes comments from one side to the other. And in Kaiten, it is enough to make the card public and add the client’s mail to the list of external editors. Developers and the client communicate directly, without wasting time and distorting information.

How to setup

Open the card, click on the “Share” icon, then “Share to the web.” In the window that appears, in the “Add external editors” field, add the mail of those who will be able to leave comments.

Be sure to check the box next to the “Comments” and “Checklists” boxes, without them external editors will not be able to comment on the card or edit the checklists. Copy the link for public access.

The person whose mail you indicated will receive a letter with a link to the card.

Quick filter by card type

Finding the required card has become more convenient. Now it is enough to click on a type of card on its front, and only cards of this type will remain on the workspace.

How to setup

Click on the colored strip on the front of the card. Click on the funnel icon next to the type of card you want.

Only cards of the selected type will remain on the board.

Turn an external user into a full Kaiten member in one click

All users who left a request through the interface of the “Service Desk” module are considered external and are displayed in the “Members” section. In one click, you can give a person access to all the functions of the Kaiten service, add to groups, set up access rights to administrative functions.

How to setup

Open the menu, select the “Members” section. Click on the line with the mail of the user you want to make a member.

In the window that appears, click the “Convert to internal” button.

Click on the user’s mail side again to configure access and add to groups.

Moving cards when deleting a board, column, or track

When you delete a board, column, or lane, Kaiten will prompt you to choose where to move the cards that are on them. If you don’t move the cards, they will disappear with the removed board, column, or track.

Manage all notifications in one place

It often happens that you receive a notification, but do not know why it came to you. In most cases, this is due to the fact that you have subscribed to some spaces entirely and receive notifications for all the cards that are there.

In your profile settings, you can

  1. check which columns and spaces you are subscribed to,
  2. add or remove subscription to spaces and columns,
  3. select events that you should be notified of.

How to setup

Go to the menu (three stripes in the upper left corner) → Profile → Notification settings → Subscriptions to spaces.

That’s all for today, see you in a month!
